When Consumer Impact set out to host their inaugural summit, they had a vision: a one-of-a-kind gathering that would launch a new era of connection and momentum for their audience. What they needed was a partner who could help make it real — from concept to execution.

 

They called avad3.

A Venue That Sets the Tone

The summit was hosted at Ledger, the world’s first (and currently only) bikeable building — an iconic structure in downtown Bentonville, Arkansas. With floor-to-ceiling windows and open-air terraces, the venue brought in an abundance of natural light — offering a fresh departure from traditional black-box hotel ballrooms. The sixth floor, now a dedicated event space, was the perfect canvas for something different.

 

Full-Service Event Planning From the Ground Up

As the inaugural year of this summit, the client needed more than just production — they needed planning. Our event planning team began working with them months in advance to line up every detail:

  • Venue contracting and permits
  • Room block logistics
  • Speaker prep and presenter coordination
  • Attendee communications and registration workflows
  • On-site check-in and custom printed badges
  • Vendor coordination including catering, floral, photo, and décor

On event day, our team manned the registration desk and managed the flow of guests across multiple zones and sessions. This wasn’t a cookie-cutter event — it was multi-room, multi-stage, and multi-experience. From indoor keynotes to outdoor activations and breakouts, the planning work showed up in every detail.

 

Smart, Sustainable Production

From a production standpoint, we handled all AV, lighting, and staging. With over a dozen wireless microphones, multiple video systems, and pop-up breakout spaces, we helped bring the event’s high-energy programming to life.

We also supplied in-house stage furniture, which reduced the need for third-party rentals or extra freight. By loading our own furniture onto trucks already headed to the venue, we kept logistics lean and reduced the event’s overall footprint.

The result was a clean, modern look — and a more sustainable approach.

 

A First-Year Success — With More to Come

With hundreds of attendees and dozens of presenters and sponsors, the event was a major undertaking. But with full-service planning and production working hand-in-hand, it ran smoothly — and beautifully.
