We recently supported a corporate client on a multi-day meeting they host annually getting together their internal team with a customer team. While the group size is smaller, under 500 attendees, the importance of this event is anything but small. This is their one opportunity each year to bring the full team together. It’s where relationships are strengthened, priorities are aligned, and the tone is set for the year ahead.
Like many of our events, this relationship started in Northwest Arkansas. Years ago, this group came through our hometown, we supported their event, and after a successful experience, they asked if we could travel with them. That’s exactly what we’re built to do.
This year, the program took place in the DFW Metroplex, just north of Dallas in Plano, continuing a pattern of moving the event to different cities year over year.
A Right-Sized Approach to Production
One of the defining aspects of this event was clarity around what was needed, and what wasn’t. As with most events in hotel environments, the in-house team supported power, internet, and rigging. Beyond that, everything you see in these photos came from avad3.
This wasn’t a broadcast show. It wasn’t designed for remote audiences. The people who needed to be there were in the room, so we made the decision early on to NOT tie up budget with cameras or recording. That single decision freed up a meaningful budget.
We don’t operate on forcing a standard package, we allocate resources into areas that have the most direct impact on the in-room experience, especially staging and environment. Every event is different. There is no one-size-fits-all approach, and this is a great example of tailoring the system to the actual goal.
Clean, Intentional Audio
From an audio standpoint, the needs were straightforward but important.
The largest on-stage moment was a six-person panel, so we deployed a wireless microphone package to support that. The system was built around our digital console and an ultra-compact flown line array.
The system delivered clean, crisp audio that filled the room evenly without drawing attention to itself. Audio was heard by speakers flown above, not seen, exactly how it should be.
Video That Supports the Moment
With multiple back-to-back presentations, reliability and editable flow were key.
We provided both primary and backup graphics and playback machines, routed through our media server. This allowed us to expand beyond a traditional presentation format and create a broader visual canvas.

The side screens played a functional role, not just scenic. As presenters walked on stage, we were able to:
- Play “Voice-of-God” introductions
- Roll walk-up music
- Display names and titles dynamically
- Transition lighting into a focused presentation look
It created a consistent rhythm throughout the show and elevated each transition into a more intentional moment.
Lighting That Transformed the Room
At one point during the program, the client said to us, “It looks so beautiful in here I could cry. Great job on this one again, crew.” That kind of reaction says everything.

The lighting design had to work in two very different environments.
During the day, a large window brought in significant natural light. At night, that same room needed to feel immersive and elevated.

We deployed a combination of intelligent fixtures for stage wash, along with movers for color and spot effects. Uplighting around the room and a strong upstage presence allowed us to completely shift the atmosphere in the evening sessions.
This is where lighting really showed its value, taking a naturally lit room and turning it into something intentional and designed.
Sharp LED, Pun Intended
One thing your eye will notice right away when you look at the photos is the use of avad3’s custom triangle LED panels on this build. This is a really unique feature. When we originally invested in our 2.6mm inventory, it was already a significant investment of hundreds of panels. But we went the extra mile and had a handful of additional panels custom-built to match that system in a unique triangle shape.
One of our teammates came up with the idea of using those panels in a staggered side layout, and it turned into something really special. It feels fresh, sharp, and intentional. It’s one of those elements that anchors the entire look of the room and gives this setup a clean, unique identity.

The creative direction leaned into a Texas-inspired, neon cowboy aesthetic. Our team ran with their Texas neon cowboy aesthetic and made content for our LED surfaces. It struck the right balance, giving the event personality while keeping the focus on the content and conversations that mattered most.
A Stage Designed to Add Energy
For this event, we chose to bring our own staging instead of relying on in-house decks (check out our blog post about when you have to work with in-house decks). That decision gave us the flexibility to design a multi-level, multi-tiered stage that better supported the flow of the show.
Rather than backstage entrances, most presenters entered from stage left and stage right. This created more visible, intentional walk-on moments and allowed the stage to feel active throughout the program. The side stage areas also gave us room to stagger lighting positions and integrate LED elements more creatively.

Because portions of the stage were built in square 8×8 sections, we chose to install a gloss black, reflective surface this time instead of typical carpet. This added a polished, elevated look, especially sharp with the reflection off the LED and lighting fixtures.
To complete the look, we replaced traditional skirting with frosted plexiglass panels, backlit with color from beneath the stage. This gave the entire platform a modern, dimensional feel that stood out without being distracting.
This event is a great example of what happens when production decisions are aligned with purpose. By removing elements that weren’t needed, we created space to invest in areas that directly impacted the attendee experience. The result was a room that felt clean, intentional, and elevated. We’re grateful to continue supporting this event year after year and look forward to where it goes next.
