Launching a first year event takes courage.

Community Bible Church knew they wanted to create something special for students across South Texas. Rather than hosting the event on one of their campuses, they booked the Freeman Coliseum in San Antonio. A venue known for rodeos, concerts, and major touring productions. After reviewing production providers, they selected avad3 to help bring the vision to life.

Most of our events begin planning about 90 to 100 days before show day. With this being the inaugural Freedom Conference, there was even more than usual to get accomplished. Week by week, our Production Manager and Technical Director worked alongside the church team as more pieces came together. We coordinated with the venue, managed rigging, power, labor, and logistics, and looked for opportunities to reduce costs along the way. By utilizing venue staging and designing within those constraints, we reduced trucking and labor while still creating a stage that felt custom to the event.

The conference centered around worship, teaching, and high energy competition moments throughout the weekend. Lyrics needed to be easy to read from anywhere in the arena. Testimony videos deserved the full attention of the audience. Live IMAG had to feel huge to set the tone. Our stage design joined a high resolution center LED wall with vertical side screens that allowed IMAG to become even more prominent. Blow-through LED panels created another layer of depth, allowing lighting fixtures behind the screens to completely transform the room. During teaching sessions the stage felt clean and focused. During worship, games, and the performance by hip hop artist KB, the room came alive with energy.

The production was built to support both the church staff and their volunteer team. The church brought seven of their own cameras from campus, while avad3 supplied the infrastructure around them, tripod-down, including comm, switching, and integration with the media server system. Together, our crews operated as one team throughout the weekend.

The lighting design extended well beyond the stage itself. During an early site visit, our team developed the idea of placing batten fixtures around the entire arena bowl, giving their worship LD another creative canvas that immersed the audience in every worship moment. Behind the scenes, pre rigged truss, motors, and efficient trucking helped the entire production fit into just three semi trailers, creating an efficient load in and allowing valuable rehearsal time before doors opened.

We are proud of every event we produce, but conferences like Freedom Conference carry an extra layer of purpose. Live events often become defining moments in someone’s life. Business conferences create partnerships that last for years. Leadership events inspire new ideas. Worship conferences can impact hearts in ways that extend far beyond a weekend. It was an honor to play a small role behind the scenes, helping amplify the mission of Community Bible Church as they launched a brand new conference for the next generation. We are grateful they trusted avad3 to pioneer this first year alongside them, and we look forward to seeing Freedom Conference continue to grow for years to come.
