The Challenge: A Small Room, But Big Expectations
When our client launched the first-ever Story Camp in Park City, Utah, they weren’t looking for an arena show. Attendance was under 100. The room was intimate. But the expectations for production? Extremely high.
This wasn’t a standard corporate breakout with a floating hallway tech nearby. It was a premium, paid, ticketed event. Attendees flew in from across the country. The speakers were TED-level. The vision: treat this small room with the polish and precision of a 1,000-person show.
The hotel had an in-house AV provider, and naturally, that was the first quote the client received. But this client knew production. They didn’t ask for a basic projector-and-screen setup. They requested the right gear — wireless microphones, a dedicated audio console, a real video switcher, crew to run it all, and three full-time technicians to stay with the show. The in-house provider did their best to meet the spec. But when the quote came back, the client paused.
Yes, the quote had the gear on paper. But could the in-house provider actually execute this kind of show?
That’s when they called avad3.

The Solution: Real Gear, Real Crew, Real Results
Our team listened closely. The client’s production goals were reasonable. Their expectations were clear. Their in-house quote had established a solid budget.
We looked at their quote and said, “Yes — we can do this.” Even with gear transport, even with flying in our three-person crew from Arkansas, we were able to match their expectations and meet their budget.
That’s because travel is normal for us. We’re centrally located in Arkansas and built for mobility. Our gear packs efficiently, and our team is experienced in shows like this all over the country. We’re not a local shop locked to one region — we’re a national partner ready to scale quality, anywhere.
But what really set this event apart wasn’t just the core show execution — it was everything we did beyond the booth. Unlike a standard in-house AV provider, we came alongside the client as a planning partner. They needed name badges? We printed them — both before the event and onsite with our own badge printer, that rode alongside our gear in our truck. They needed help designing and printing their first ever custom backdrop? Done, it wasn’t our first, we do that all the time. We sourced and delivered it on our same truck. They needed content to promote the next event? Our crew brought some extra DSLR Cameras and captured it themselves. And when it came to stage set design, we provided light creative direction to elevate the space with simple, smart scenic. These extras weren’t “scope creep” — they’re part of how we serve.
We do over 100 shows a year, and we know that sometimes clients just need a little help — so we help. That’s the difference when you bring on a production partner, not just a vendor.
The Outcome: A Flawless Show in a Small Space
“Everything just worked. It looked amazing, felt professional, and the avad3 crew was incredible from start to finish.”
— quoted from a Google Review left by our client
The difference? The client trusted their instincts. They knew they needed more than a box of gear and a tech on call. They needed a team who could deliver excellence at any scale.
That’s exactly what avad3 is built to do.
